Managing employee absence requests is crucial for maintaining a well organised workplace. In this guide, we will walk you through the process of handling pending requests inside your Absence Management.
1. Navigation
Navigate to the list of leave requests awaiting your decision.
Log in to your account on the company’s portal.
Once logged in, navigate to ‘Pending Request’ section under “Absence” in the main menu on the left.
In case there are no pending requests, you’ll see a screen with a message: “No pending requests.”
2. Pending requests
If there are pending requests, you will be presented with a list of all requests awaiting your decision.
You can filter the list by department using the dropdown menu located under the “Requests” section.
3. Request details
Click on a request from the list to open its details and review it.
A new modal window will appear, displaying the following information about the pending request:
User’s Name
Type of Holiday
Dates Requested
Message (if provided)
Total Requested Days
4. Take action
As an administrator, you have two options when reviewing a pending absence request:
Approve: To allow the employee to take the requested time off, click on the “Approve” button.
Decline: If the request cannot be approved for any reason, click on the “Decline” button.
If you wish to decline the request, you could also submit an optional message to the employee, explaining the reason for it.
5. Notification
When a decision is made on a pending request, its status will be updated accordingly and it will be removed from the list of pending requests.
The employee will be notified of your decision by email, and any associated changes to their absence will be reflected in the system.
FAQ
The “Pending Requests” tab is where administrators can find and manage employee leave requests that are awaiting their decision.
If there are no pending requests, the system will display a message saying “No pending requests.”
Administrators can either “Approve” or “Decline” a request. If they choose to decline, they can also provide an optional message explaining the decision.
Once an administrator takes action on a request, it will be removed from the list of pending requests, and the employee will be notified of the decision. Any changes to the employee’s absence will be updated in the system.
